BROOKSIDE FARM EVENT GUIDELINES General • Weddings can be scheduled from mid-April through October. (*) • A maximum of 150 guests are allowed on the property for any one event. • Areas of the property available for your event include the outdoor terrace and lawn, outdoor kitchen (complete with refrigerator, gas stove and sinks), a bar for serving and storage, the Garden Cottage for the bride and bridesmaids, a changing room area for the groom and his attendants, and three toilets, one of which is handicapped equipped.
• Client is required to provide the name and phone number of an Event Coordinator, preferably a professional coordinator, to assist you with your event. (Brookside Farm has a coordinator available if you are interested.) • The coordinator’s role is to arrange and coordinate all services, as well as to encourage guests as to the ground rules and guidelines as stated herein. • An activity schedule (that is, the “Reception Worksheet” provided to you by Brookside) should be presented to Brookside one week prior to the event.
• Set-up for your event may begin as early as 9 a.m. on the morning of the event. (If needed, items may be transported to the property the afternoon prior to the event.) • An one-hour time slot for a rehearsal is available upon request, and will be considered as part of the wedding package. Should the rehearsal go longer than one hour, there is a $50 per hour charge for each additional hour that the wedding party is on the property. • Brookside will confirm a date and time for your rehearsal as we approach the time of your event. Generally, we make the site available to you for an hour the evening before the event, providing there is not a conflicting scheduled event. • To facilitate your guests in locating the property, a “Brookside Farm” sign will be placed on Highway 94 at Marron Valley Road to designate the turnoff to the property. You may add balloons or names if you wish.
• A Bridal Ready Room for the bride and her bridesmaids, The Garden Cottage, is available for two hours prior to the event, as well as during the event, for the sole use of the bride and her bridesmaids. • If The Garden Cottage is rented for overnight stay the night before the event, check-in time is 5 p.m. • If The Garden Cottage is rented for overnight stay the night of the event, checkout time is 12 noon the day following. • Should the groom and groomsmen require a place to change, a fitness center is available for this purpose. (Gym equipment is off-limits to wedding party and guests.) • The Garden Cottage is a non-smoking facility.
• Children must remain in the care and supervision of their parents or guardians at all times. Pool and trampoline areas are off-limits. • The use of hard liquor and beer kegs is not allowed. Brookside does everything possible to assure the safety of guests during and after the event. At any event at which alcohol is served, Client must agree to hold Brookside Farm or Family Care Foundation harmless. So Client assumes all liability in the event of injuries at the facility, or on the way home as a result of alcohol consumption. • The Client/wedding coordinator is responsible to ensure that no underage drinking occurs; that no excessive drinking occurs; and to escort any persons abusing alcohol off of the premises. • Since Highway 94, the road being traveled to and from the facility, is somewhat windy, please encourage your guests to appoint designated drivers. Brookside reserves the right to detain and/or arrange transportation (at the host’s expense) for anyone whose sobriety is questionable. • Car-pooling is recommended. • Because of the threat of fires, smoking is only allowed in a designated area, by the driveway in front of the main front. • The only type of candles that are permitted on the property are tea-candles.
• As a considerate host and/or coordinator, you will want to determine the appropriate volume level for music that allows your guests to easily converse. Keep in mind that the natural rock formation adjoining the dance area, while being good for acoustics, can also have the effect of amplifying the sound level. • Excessively loud music is not allowed due to the proximity of neighbors to the facility. Brookside reserves the right for their representative to monitor the volume of the music during the event and to bring it to the attention of your coordinator, should it be determined that the volume level needs to be reduced. • There is a 9 p.m. cut off for music. –No exceptions.
• Prior to the event, Brookside provides the chairs and tables, which the Renter can arrange as desired. • Renter shall be responsible for all set-up prior to event, all service during event and all clean up after event. Under the agreement, Brookside representatives do not assist with set-up, cleanup or food/drink service. • After the event, Brookside will put away chairs and tables used for the ceremony and reception. • Since confetti and wedding glitter is not environmentally friendly, wedding guests are therefore encouraged to use flower petals, lavender seeds, sterilized birdseed or bubbles as alternatives to throwing confetti. (If the flower petals are not organic, they would need to be raked and picked up as part of clean up.). • Please leave all bagged trash at designated spot, allowing Brookside to dispose of bags. • Brookside reserves the right to deduct $100 of the $500 security deposit if the site is not left clean and orderly.
• Brookside provides an attendant to provide any help you may require on the day of your event, from helping you and your guests with various small needs that invariably come up, whether it be locating electric outlets or extension cords, to monitoring the cleanliness of the toilet facilities. (*) Should weather become a factor at Client’s event, Brookside will offer the next available date for your event (including the next day if available). Or Clients have the option to acquire available rentals to accommodate the weather and thus continue the event as scheduled. (For example, a tent can be erected on the lower lawn.) All related costs, necessary to reschedule the event and/or rent items to accommodate the weather, would be the responsibility of the Client.
